Each user has their own mailbox where they can send and receive emails. Emails can be sorted into folders and tagged to facilitate organization. Additional features such as an out-of-office agent, a modern editor, and rule sets simplify work.

The calendar feature allows you to schedule appointments and meetings. Each user has their own calendar where they can enter and view appointments. Calendars can also be shared to facilitate group appointment scheduling.

The note feature allows you to create and save text and multimedia notes. Notes can be categorized and tagged for easier retrieval later.

The task feature allows you to assign tasks to individual users or groups. Tasks can be prioritized and assigned deadlines to facilitate completion.

For collaboration within a team or an entire organization, a comprehensive rights concept also allows access to other users’ content, so-called functional mailboxes, and shared resources. These include team-internal calendars, a shared mailbox for incoming invoices, a company-wide address book, and similar resources.

The contacts feature allows you to save and manage contacts. Each user can create and manage their own contacts and organize them into groups, but they can also access a shared organizational address book.

A unique feature is the native support of Microsoft Outlook from version 2016 onwards, including MS 365. Without the need for a plug-in, add-on, or any workarounds, the Outlook client can be connected to the Kopano cloud system via Autodiscover.

The native connection provides optimal connectivity and the full range of functions while maintaining digital sovereignty for data storage, with maximum compatibility and simplicity.

With the Kopano Cloud WebApp, you can access your groupware information via a browser. The interface is designed for intuitive access to all functions.

You can quickly read, sort, or reply to emails, view your calendar, and send appointment invitations to contacts from your address book.

The IMAP and POP3 interfaces are also available. Mobile devices can also be connected to a Kopano Cloud system via ActiveSync to synchronize emails, calendars, contacts, notes, and reminders.

Kopano Cloud stores data on a user-specific basis and has a REST API that can be used to manage user accounts. There is also a dedicated web interface for user management, which allows you to configure the essential settings for the organization.

Kopano Cloud was developed with hosting environments in mind and is designed for high performance. Tens of thousands of users on a system with multiple tenants are easily possible. The name was apt, even though our product isn’t only offered as a fully managed service.

For this purpose, Kopano Cloud has received a completely new code base, which has been in development since 2019. The development was based on the extensive know-how and extensive experience gained from around 20 years of groupware development (Connectux, exchange4linux, Zarafa, Kopano).

Kopano Cloud is a container software stack that contains everything necessary to operate the solution, thus significantly accelerating deployment.

Because Kopano Cloud is perfectly suited for hosting environments, it is ideally suited to be offered as a fully managed service by our Kopano Cloud partners. We call this a Kopano Cloud Offering. You pay monthly for the mailboxes you use and can add or reduce mailboxes at any time. Whether as a tenant on a multi-tenant system or as a private cloud offering, you decide on the type of managed service based on your requirements.

But the benefits of Kopano Cloud are not only available as a managed service. An on-premises installation may be an option for a defined scope, although an OEM product may also be suitable for a small number of mailboxes.
